Reflection Pilates Terms & Conditions

These Terms & Conditions (“Terms”) govern your use of the Reflection Pilates website, online booking system, memberships, class packages, private sessions, recovery services, events, and other services provided by Reflection Pilates (“Reflection Pilates,” “we,” “us,” or “our”).

By creating an account, purchasing a service, booking a class, purchasing a membership or package, or participating in services at Reflection Pilates, you agree to these Terms.

If you do not agree to these Terms, please do not use our services.

1. Studio Services

Reflection Pilates provides Pilates, fitness, movement, wellness, recovery, and related services.

Services may include, but are not limited to:

  • Reformer classes
  • Mat classes
  • Private and semi-private sessions
  • Memberships
  • Class packages
  • Sauna and cold plunge/recovery services
  • Special events and workshops
  • Other fitness and wellness services offered by Reflection Pilates

Class schedules, instructors, services, pricing, and availability may change from time to time.

2. Client Accounts

Some services require you to create an account through our booking platform.

You are responsible for:

  • Providing accurate and current information
  • Maintaining the confidentiality of your account information
  • Keeping your contact and payment information current
  • All activity conducted through your account

You agree not to create an account using false information or impersonate another person.

3. Health and Fitness Participation

Participation in exercise and wellness activities involves inherent risks, including but not limited to muscle soreness, strains, sprains, falls, cardiovascular events, and other injuries.

You are responsible for determining whether you are physically and medically able to participate in our services.

You agree to inform Reflection Pilates and/or your instructor of any relevant injuries, physical limitations, medical conditions, pregnancy, or other circumstances that may affect your ability to participate safely.

Reflection Pilates does not provide medical advice, diagnosis, or treatment.

You should consult your physician or another qualified healthcare professional before beginning a new exercise program if you have questions or concerns regarding your ability to participate.

4. Waiver and Release

Participation in Reflection Pilates services may require completion and acceptance of a separate liability waiver, release, informed consent, or health screening form.

Where applicable, completion of the required waiver is a condition of participation.

The waiver and release is incorporated by reference into these Terms to the extent permitted by law.

5. Booking Classes and Services

Classes and services must be booked through our designated booking system or through another method approved by Reflection Pilates.

Space is limited, and a reservation does not guarantee participation if the client has not completed required registration, payment, waiver, or other requirements.

Clients are expected to arrive prepared and on time.

Reflection Pilates reserves the right to deny participation when a client arrives too late to safely participate in a class or when participation would create a safety concern.

6. Cancellation and No-Show Policy

Because class space is limited, cancellations must be made within the cancellation period stated by Reflection Pilates at the time of booking.

Late cancellations and no-shows may result in:

  • Loss of the class credit
  • A late cancellation or no-show fee
  • Loss of the reserved service
  • Other consequences stated in the applicable membership or package terms

Specific cancellation windows and fees may vary by service and will be communicated at the time of booking or purchase.

7. Memberships

Memberships automatically renew according to the billing schedule selected at purchase unless properly canceled.

Membership benefits, included services, class limits, pricing, billing frequency, and commitment periods are determined by the membership purchased.

Memberships are personal to the member and may not be transferred, shared, or sold unless expressly permitted by Reflection Pilates.

Memberships do not guarantee availability in a particular class.

8. Membership Cancellation

Membership cancellation requests must be submitted according to the cancellation requirements communicated at the time of purchase.

Unless otherwise stated in the applicable membership agreement, cancellation requests must be received at least 14 days before the next scheduled billing date to prevent the next recurring charge.

Cancellation of a membership does not automatically entitle a client to a refund for a previously billed period.

Any minimum commitment period agreed to at enrollment remains applicable.

9. Class Packages

Class packages are subject to the expiration dates, restrictions, and usage limitations communicated at the time of purchase.

Unused classes generally have no cash value and are not redeemable for cash unless otherwise required by law.

Class packages are generally non-transferable and non-refundable once purchased, except where otherwise required by law or expressly stated by Reflection Pilates.

10. Payments and Billing

You authorize Reflection Pilates and its authorized payment processor to charge your selected payment method for purchases, memberships, recurring charges, fees, and other amounts you authorize or owe under these Terms.

You are responsible for maintaining a valid payment method.

If a payment fails, Reflection Pilates may attempt to process the payment again or require an updated payment method.

Outstanding balances may result in suspension of account access, membership benefits, or future bookings.

11. Prices and Promotions

Prices are subject to change.

Promotional offers may have separate terms, expiration dates, eligibility requirements, or restrictions.

Unless expressly stated otherwise, promotions cannot be combined with other discounts or offers.

Reflection Pilates reserves the right to correct pricing or promotional errors and to cancel transactions resulting from obvious errors, subject to applicable law.

12. Founding Member and Promotional Pricing

Where Reflection Pilates offers founding-member or promotional pricing, the specific terms presented at the time of enrollment control.

Any claim that a promotional or founding price is “locked in” applies only to the specific membership, services, and conditions described when the offer is purchased.

13. Studio Rules and Conduct

Clients are expected to treat instructors, employees, other clients, and studio property with respect.

Reflection Pilates may refuse service or remove a client from the studio for behavior that is unsafe, threatening, abusive, discriminatory, disruptive, harassing, or otherwise inappropriate.

Clients may be responsible for damage to studio property caused by intentional or negligent conduct.

14. Equipment and Studio Safety

Clients must use equipment only as instructed.

Do not use equipment or participate in an activity if you are unsure how to do so safely. Ask an instructor for assistance.

Reflection Pilates may modify, discontinue, or restrict the use of equipment or services when necessary for safety, maintenance, or operational reasons.

15. Sauna and Cold Plunge

Sauna and cold plunge services involve additional risks and may not be appropriate for everyone.

Clients are responsible for reviewing and following all posted safety instructions and applicable studio policies.

Clients should consult a qualified healthcare professional before using sauna or cold plunge services if they have concerns about whether these services are appropriate for them.

Reflection Pilates may require clients to complete an additional waiver, acknowledgment, or screening before using recovery services.

16. Schedule and Instructor Changes

Reflection Pilates may modify class schedules, substitute instructors, change class formats, cancel classes, or temporarily close portions of the studio when reasonably necessary.

When practical, we will provide notice of significant changes.

If Reflection Pilates cancels a prepaid class, the applicable class credit may be restored or another appropriate remedy may be provided.

17. Refunds

Unless otherwise stated in a specific offer, membership agreement, or applicable law, purchases of memberships, packages, classes, and other services are generally non-refundable.

Nothing in these Terms is intended to waive any refund or cancellation rights that cannot legally be waived.

18. Intellectual Property

All content associated with Reflection Pilates, including our name, logos, branding, photographs, graphics, written content, videos, class names, and other materials, is owned by or licensed to Reflection Pilates unless otherwise stated.

You may not copy, reproduce, distribute, modify, sell, or commercially exploit Reflection Pilates content without written permission.

19. User Content and Social Media

If you voluntarily tag, mention, or share content involving Reflection Pilates on social media, you understand that the content may be publicly visible according to the settings of the applicable social media platform.

Reflection Pilates may interact with or repost publicly available content in accordance with the applicable platform's rules.

We will not knowingly use a client's image for commercial promotional purposes where the client has specifically opted out of applicable photo/video permissions.

20. Third-Party Services

Reflection Pilates may use third-party platforms for booking, payment processing, communications, website hosting, marketing, analytics, and other business functions.

Your use of those services may also be subject to the third party's terms and privacy policies.

Reflection Pilates is not responsible for the independent acts, omissions, policies, or security practices of third-party providers.

21. Website Use

You agree not to use our website or booking system:

  • For unlawful purposes
  • To interfere with the operation or security of the website
  • To attempt unauthorized access to accounts or systems
  • To submit fraudulent information
  • To distribute malicious software
  • To interfere with another person's use of the website or booking system

22. Disclaimer

Information provided by Reflection Pilates is for general fitness and wellness purposes and is not medical advice.

Participation in our services does not create a doctor-patient relationship or other healthcare relationship.

We do not guarantee specific fitness, weight-loss, strength, flexibility, health, or wellness results.

Individual results vary.

23. Limitation of Liability

To the maximum extent permitted by applicable law, Reflection Pilates and its owners, employees, instructors, contractors, agents, and affiliates will not be liable for indirect, incidental, consequential, special, or punitive damages arising from your use of our website or participation in our services.

Nothing in these Terms is intended to exclude or limit liability that cannot legally be excluded or limited under applicable law.

24. Indemnification

To the extent permitted by applicable law, you agree to indemnify and hold harmless Reflection Pilates and its owners, employees, instructors, contractors, agents, and affiliates from claims, liabilities, damages, losses, and expenses arising from your violation of these Terms, your misuse of our services, or your negligent or wrongful conduct.

25. Termination or Suspension

Reflection Pilates may suspend or terminate access to memberships, accounts, classes, or other services when reasonably necessary, including for nonpayment, violation of these Terms, unsafe conduct, or misuse of the studio or booking system.

Termination does not eliminate obligations that arose before termination.

26. Changes to These Terms

Reflection Pilates may update these Terms from time to time.

Updated Terms will be posted with a revised Effective Date.

Your continued use of our services after updated Terms become effective constitutes acceptance of the revised Terms to the extent permitted by law.

27. Governing Law

These Terms are governed by the laws of the State of Idaho, without regard to conflict-of-law principles, except where applicable law requires otherwise.

Any dispute will be handled in a court or other forum having appropriate jurisdiction, subject to applicable law.

28. Severability

If any provision of these Terms is determined to be invalid or unenforceable, the remaining provisions will remain in effect to the fullest extent permitted by law.

29. Program Description

By opting in, you agree to receive recurring automated text messages from [REFLECTION PILATES] ("we," "us," "our") at the mobile number you provided. Messages may include [appointment reminders, order updates, account alerts, promotional offers, customer support follow-ups, etc. — customize to your actual use case]. Consent to receive these messages is not a condition of any purchase.


2. Message Frequency

5. Carrier Liability Disclaimer

Carriers are not liable for any delayed or undelivered messages.29. Entire Agreement

These Terms, together with any applicable membership agreement, waiver, release, purchase terms, or other written policies incorporated by reference, constitute the agreement between you and Reflection Pilates regarding the applicable services.

If there is a conflict between these Terms and a specific written agreement governing a particular service, the specific agreement will control to the extent of the conflict.
